Guidelines to Rules & Procedures
IMPORTANT NOTE
Please be aware that all registration cards remain the property of the Registry
who reserve the right to withdraw a card at any time.
New player registrations.
Secretaries wishing to register unregistered players should supply the following:
a duly completed New Player Registration Form (pink);
two identical passport type photographs of the player;
written request detailing the required transaction;
appropriate fee.
These should be sent by post direct to the Registry.
Note,
All application forms must be fully completed, and must be accompanied by
two identical passport type photographs, one of which should be attached to
the form; the other should be signed on the reverse by the player
Incomplete applications will be returned unprocessed, and undated.
Players individual details will be treated as confidential.
Transfers.
Players wishing to transfer from another band should supply the following
to their new band Secretary:
a duly completed transfer form (white);
your current registration card;
The Secretary should then supply them to the Registry together with the appropriate
fee.
Note
No transfer forms will be accepted without the player’s Registration
card and vice versa. Players in the process of transfer, are still members
of the releasing band until the effective date of transfer. They will be included
in the total number of registered players, which can not exceed 40.
When returning the registration cards for revalidation, please advise the
Registry of any players in the transfer process.
Duplicate cards.
Duplicate cards are required when:
there is no room on the card for further transactions;
the card is damaged;
the player changes name for any reason.
Required documents:
TWO identical passport type photographs;
a duly completed Duplicate Card Application Form (blue);
the players current registration card;
written request from the Secretary detailing the required transaction;
appropriate fee.
These should be sent by post direct to the Registry.
Note.
Duplicate cards are required when there is no further space on the card to
enter transactions, or if a player changes name for any reason.
Please check if a duplicate card is required when applying for transfers.
Revalidations.
All players cards must be revalidated by the Registry, before the date denoted
on the card.
Secretaries should send ALL cards, and denote any they wish to cancel.
It assists the Registry if the cards are sorted into alphabetical order.
Required documents:
all player Registration cards;
appropriate fee;
written request detailing the required transaction.
Secretary.
In relation to Registry matters, the word Secretary is a generic term used
to describe the person nominated to be RESPONSIBLE FOR REGISTRATIONS. This
may not necessarily be the band Secretary. The yellow Secretary Registration
form should be completed signed by this person, and sent by post to the Registry.
If a band changes Secretary, it is necessary to complete a NEW yellow Secretary
Registration Form.
Note.
If you wish another individual to carry out a duty on your behalf, please
inform the Registry. We operate with a reasonable degree of flexibility, but
inorder to avoid an application being returned unprocessed, please make sure
that you inform the Registry at all times.
Photographs.
Photographs must be of passport type, recent and identical i.e. taken at the
same sitting. Applications with unsuitable photographs will be returned unprocessed.
One photograph should be attached to the form on the space provided, and the
second photograph should be signed on the reverse by the player but please
do not stick this to paper
Photographs when required, should accompany the transaction.
Expired Cards.
A player whose card is not returned for renewal, is still a registered member
of the band until 12 weeks after the band renewal date.
It should be noted however, the player may not be eligible to compete at contests.
After 12 weeks, if the card is not renewed, the registration will automatically
‘expire’ and be cancelled by the Registry.
Cancellations.
When a player leaves a band without completing a transfer application, the
registration card is to be cancelled and should be immediately returned to
the Registry.
The card will be denoted as cancelled, and normally, will be returned to the
band Secretary.
If the band has 40 players, no further new registrations or transfers can
be processed until the appropriate number of cards are returned to the Registry
for cancellation.
Payment.
A remittance for the appropriate amount should normally accompany all transactions.
Please make sure that cheques are made payable to the British Brass Band Registry,
and write the name of the band on the reverse.
